Navigating the Details Screen - Basic, Contract & Property (ON)

The Details tab is the primary hub for every file created in Realti. This screen is available as the second tab on the left most navigation panel. While the available sections vary by file type (e.g., Purchase, Sale, Mortgage), the data entered here automatically generates all corresponding document information, maximizing efficiency.

Transaction Specifics

In this article, we will discuss what each of the first three sections of the Details tab:
Basic
Contract
Property
Basic
The Basic section serves as the main location for managing core file details, including information about the Transferee(s)Transferor(s)Firm Contact, and Fire Insurance.

While some fields (such as the Transferee(s) and Firm Contact) may have been automatically populated during the initial file creation, it's essential to complete any missing information here. Inserting as much detail as possible ensures your documents are fully and accurately generated throughout. You can return to the Basic section to add or modify information at any time. 

Most fields are simply a click and fill field, however there are some fields that contain databases. For fields that are linked to your databases within Realti (such as Firm Contact or Other Side Legal Representation), you will see three icons: a list icon, a pencil icon and a delete icon.
  1. Clicking the list icon opens a search screen or list (database dependent), allowing you to quickly select existing data that has been previously saved to your account.
  2. Clicking the pencil icon opens a screen to edit the selected entry.
  3. Clicking the delete icon will clear the information currently entered into that field.

File Configuration

The File Configuration section allows you to define the specifics of your transaction, ensuring the system generates the appropriate wording within your documents. Use these settings to indicate essential details, such as working for both the Buyer and Seller, and whether the file is a new home purchase from a builder, new home sold by a builder, vacant land, or commercial property.

In a Purchase file, selecting the New Home Purchased from a Builder radio button is particularly important for accurately configuring the file.
  1. If you select Yes, all relevant fields pertaining to new homes, such as GST/HST Rebates and Tarion calculations, will be made available throughout the file.
  2. If the property is a resale, selecting No will prompt a subsequent question regarding whether the subject property is vacant land.
In a Sale file, selecting the New Home Sold by a Builder radio button will assist in configuring the file to allow for additional fields and document configurations.
  1. If you select Yes, additional fields will be available under the Contract section to allow for upgrades, GST/HST Rebates, Tarion calculations and changes to the Statement of Adjustments documents.
  2. If you select No, a subsequent question will appear regarding whether the subject property is vacant land.

By accurately configuring these settings, you ensure that only the necessary and correct data fields are displayed and that your final documents are correct.

Adding Buyer/Transferee

To add a new Buyer/Transferee, click the Edit button next to the Transferee(s) field. Alternatively, you can click the + button to the Buyer Side section located in the left-hand navigation panel. This action opens the Purchaser Information screen.

Initially, complete the available fields using the details provided in the Agreement of Purchase and Sale. You can return to this screen to update information as it becomes available.

After adding your client(s) to the file, you can add their identification information into the file by clicking ID Verification. Check out this article for more information about using the Client Identification Verification section.

Adding Seller/Transferor

Adding a Seller/Transferor follows the same procedure as adding a Buyer/Transferee. From the Basic screen, click the Edit button next to the Transferor(s) field. Alternatively, you can click the + button to the Seller Side section located in the left-hand navigation panel. This action will open the Vendor Information screen, where you should enter all available details about the transferor.

Initially, complete the available fields using the details provided in the Agreement of Purchase and Sale. You can return to this screen to update information as it becomes available.

Other Side Legal Representation

The ability to add the other side legal representative can be added from the Basic screen or from the left-hand navigation panel.
Contract

The Contract screen is the dedicated area for capturing all essential information from the Agreement of Purchase and Sale. While some details, such as the Contract Price, Closing Date, and party names, overlap with the Basic screen, the Contract section provides the comprehensive structure for transaction particulars.


This screen consistently displays the following core fields for both Purchase and Sale files:

The layout and available fields on the Contract screen will dynamically adjust based on the settings selected in the File Configuration area of the Basic screen, specifically when dealing with a New Home Purchased from a Builder.

For Purchase files, additional sections will appear if the property is a New Home being Purchased from a Builder. This includes an expansion on the HST component to allow for the inclusion of the HST in Price, Total HST amount and the activation of the Purchasers Entitlement to the HST Rebate.  Additionally, there will be a section for the Tarion information to be input.

For Sale files, if the subject property is identified as a New Home Sold by a Builder, then certain sections will be slightly different or added. For example, the HST section will be changed to display the applicability of HST being included in the price. The Tarion section will also appear when the subject property is a new home. Under the Consideration section, entry of Extra Items or Upgrades that are inclusive of HST will also be available on the screen. 

Real Estate Commissions

This section allows for the entry of Real Estate Broker details and the calculation of their commission.

Entering Real Estate Agent Details
You have three options for adding the relevant real estate agent or broker:
  1. Database Search: Search and select from your firm's list of previously used realtors.
  2. REALTORS® Search: Use the REALTORS® search function to access the Realtor.ca database. This option allows you to import the broker's information directly and save it to your database for future use.
  3. Manual Entry: Manually input the broker's details under the All Real Estate Agents tab at the top of the screen.
Commission Calculation
You can determine the commission amount using one of two methods:
  1. Percentage: Enter the percentage (%) of the contract price to automatically calculate the commission amount.
  2. Fixed Amount: Enter the total commission amount pre-tax (before HST).
The system uses this calculation to automatically determine the required adjustments regarding the deposit. This includes calculating any portion of the deposit owed to the broker should they be holding the deposit or any excess funds owed from the broker to the vendor. If funds are owing to the broker, this will automatically display on your Trust Statement in a Sale file. 

Property

The Property screen is where you enter the subject property municipal address, property description and legal description.


Property Address

Entry of the municipal address can be entered manually, or by using the integrated Google address search function to find the property.  Whether using the manual entry, or the search function, verification of the postal code through Canada Post is automatic. Ensuring the information entered is accurate. If the postal code entered could not be validated automatically, click the Verify button. This will then provide you with Postal Code Finder screen that will help you in ensuring the address information is accurate.

Information entered in the Property Address section can be modified at any time. Modification of the City/Town can be completed by clicking on the list icon to find the appropriate Municipality under All Municipalities. This database is provided by LDD and updated as often as possible. Information that is contained in the individual municipality database are items like Tax Certificate information such as fees and ordering information, Building/Zoning fees and ordering information, as well as Water/Hydro/Gas information, etc.

Information added into the municipality will affect other features within Realti such as automatically selecting Land Registry Office, Assessment Roll No., Condo Corporation Naming structure, as well as information in the Legal Description section.

At any point users can modify the data in the entry. This then creates an entry that is listed as "Your Own Data" and does not get updated by LDD. When adding your own municipality, ensure you are entering all information available including what Land Registry Office the municipality is in as this will help with filling in other information within the file.

Property Description
The Property Type dropdown indicates to Realti if the subject property is a Freehold or Condominium estate type and will impact what is displayed on each screen.
  1. Selecting Freehold will trigger other items to appear such as if the property is a POTL (Parcel of Tied Land) then the t/w Common Elements checkbox will appear. This will allow you to enter the Common Element Condominium information below it.
  2. Entering Condominium in the type dropdown will change the formatting of the legal description section to allow for multiple unit types, descriptions and PINs. This will also allow you to enter the Unit Type and Unit Number in the Property Address section.
Condominium
If the property type is selected as Condominium, you will be able to add the Condominium Corporation name, Number and the Condominium Management Contact information.
