Creating & Modifying Custom Fields

Custom Fields are fields you can add to RealtiWeb for your firm. These fields are treated like any other field, except they are customizable. They can be used to combine other fields together, calculations or adding additional information to your files. Any custom field can be added into a document for use, see this article on how to do thisCustom Fields are found under Settings → Custom Fields.

Creating Custom Fields

Follow these steps to add a custom field:
  1. Click Add Field to add an empty line to the bottom of the list for your custom field.
  2. Add the name of your new field under Caption. This should be something easy to understand across your firm.
  3. Next select the Data Type and Size (if applicable) for the new field. The Size of the field is the maximum number of characters allowed to be entered into the field. 
  4. Set the Location (a.k.a. page or screen) for the field to appear. The field will appear at the bottom of the section selected.
  5. Set the Deal Type(s) for the custom field, i.e., P (Purchase), S (Sale), M (Mortgage), or a combination of these letters for the field to appear in more than one file type.
Click the Save icon to save your changes.

Modifying Custom Fields

After setting the Caption, Data Type, Size (if applicable) and Location for the custom field, an edit button (pencil icon) will be between the Size and Location columns. (If you want an empty field, do not Edit the custom field).

Clicking the edit button will open the Formula Editor popup window. Here you are able to set formulas for the custom field.

Using the Add button

The Add button has three options to select from: operators/functions, conditions, and other.

The operators/functions option is for help with building formulas, especially when setting a date type field or rounding a variable. The conditions are predetermined formulas, while the other option adds a blank field.

Using the Add Field button

One main reason for creating a Custom Field is to create a new field with a formula. The Add Field button is perfect to use for simple formulas.

For example, if a firm only accepts 10% of the purchase price as a first deposit, they can create a field called First Deposit. The firm could use the following steps to calculate 10% of the purchase price:

  1. Click the edit button.

  2. Click Add Field.

  3. Find and click on the Purchase Price field in the Field List popup.

  4. Type in “*.10”.

  5. Click Done. (Do not click the “X” of the popup - this will result in you losing all of your changes)


Custom Field Reference Table

Let’s review the columns in the Custom Fields screen:
Note: For Custom Field changes to take effect, please log out and back in to your account.

Column Name

Function

Caption

Name of the field being added. The name will appear beside the empty field on the screen that is indicated.

Data Type

Using the dropdown, select the type of information that will be collected.

Size

Dictates the maximum number of characters that can be entered into the field. Not applicable to every Data Type.

Location

Custom Fields will be located at the bottom of the screen that is identified in this column.

Deal Type

Designates what file type the Custom Field will appear in.

P is Purchase files, S is Sale files, M is Mortgage files, and combining two or more letters together means the field will appear on screen for more than one file type.

Hide

When checked, this hides the Custom Field from screen.

Generally, this is used when the field is no longer needed, but any saved information is wanted to be kept for historic purposes. (Recommended)

Delete

Removes the Custom Field from the list and all information that is saved in the field across files.

Note: Deleting a field cannot be undone. Using this function should only be used with the understanding that this will break any documents using the field (current, future and prior files), and cannot be restored. Using the Hide function described above is recommended in it's place.
